TERMS AND CONDITIONS

Please note, Terms and Conditions must be signed for each individual tutee.

Sessions will not commence until you have read, confirmed and signed that you understand the following terms.

1.0 ABOUT THE TUTOR

1.1 When using M4thTeeMatix services you are agreeing to the following terms and understand that you/the tutee will receive maths support through various formats.

1.2 M4thTeeMatix reserves the right to update the terms at any time and all members of the M4thTeeMatix community will be notified accordingly via email/tutee portal.

1.3 All Tutors operating under M4thTeeMatix will have a valid, up-to-date DBS and Safeguarding certificate.

1.4 Topics taught by M4thTeeMatix are based on the current UK curriculum.

1.5 The tutors will adapt to the different learning styles of the tutee. In the first session, the tutor will assess the learning styles of the tutee as well as their current maths knowledge.

1.6 At M4thTeeMatix, we are confident that tutees will show improvement in their confidence and understanding with consistent engagement. However, individual results may vary depending on effort, attendance, and other external factors.

1.7   M4thTeeMatix is not responsible for the performance of the tutee during exams and does not guarantee that the tutee will achieve the intended results. However, M4thTeeMatix will always strive to prepare each tutee academically, to the best of our ability.

1.8  M4thTeeMatix tutors are specialised in teaching Mathematics & must not feel pressured to teach any other subject, however tutors may offer to help in other subject areas if they are able to do so.

1.9  All communications from the tutor will be done with an adult (18+)/parent/guardian of the tutee unless permission has been given to contact the minor. To give permission you will need to sign the under 18’s communications consent section in 8.0 Agreement

1.10 All tutors are trained with M4thTeeMatix core principles, developed over many years to deliver a highly effective and personalised maths tutoring experience.

2.0 BOOKING

2.1  When booking in blocks, you will be required to reserve your time slots for all sessions in the block. Should you wish to reschedule, we will let you know our availability and try to rearrange your session. Timeslots are dependent on availability, and we cannot guarantee that rescheduled sessions will be in the same week as the original.

2.2 When booking in a block, you must make your payment a minimum of 48 hours before the first session in the block. Failure to do so will result in your block being cancelled.

2.3 Block bookings secure consistent session slots for the tutee.

2.4 During the last week of the block a reminder will be sent out (during this week there is the opportunity to request booking adjustments to be made on the next invoice if needed) 

2.5 Invoices will be sent once the last session of the block is complete/by the following day via preferred contact method.

 

 

PAY AS YOU GO

 

2.6 Pay as you go sessions can only be booked online.

2.7 New/non-consistent tutees can book unlimited PAYG sessions per half term.

2.8 Existing customers are limited to 2 Pay as you go sessions per term unless otherwise agreed.

2.9 When booking a PAYG session, your payment is required at the time of booking. Your booking will not be complete/secured until payment has been received.

 

TRIAL SESSION

 

2.10 Trial sessions are 50% of the PAYG price.

2.11The trial session is a chance for M4thTeeMatix to build a rapport, assess the tutee and understand their strengths and weaknesses. This is an assessment of their maths ability and how they pick up information.

2.12 After the trial you will receive a summary of the session within 48 hours (working days)

2.13 Only one trial session is available per tutee.

2.14  If the trial session is cancelled outside of our cancellation policy, the tutee can rebook, but the 50% discount will no longer apply. You will be required to pay the full PAYG rate.

3.0    RESCHEDULING & CANCELLATIONS

RESCHEDULING

 

3.1 All extra one-off sessions/re-scheduling made by the tutee must be requested at least 2 days in advance.

3.2 Any extra session, of the same session type, made by a tutee that has a block booking will count towards their current session count for the block.

3.3 Any extra session, of a different session type, made by a tutee that has a block booking will not count towards their current session count for the block and will have to pay the PAYG price for that session (In some cases, face-2-faces tutees may reschedule for an online session instead).

 

CANCELLATIONS

 

3.4 Cancellations must be made by the tutee no later than 24 hours before their session.

3.5 Any cancellations made less than 24 hours before the session will incur a charge that has to be paid by the next session the tutee has with the tutor. The charge will be dependent on the amount of time before the session that the cancellation has been confirmed. If the cancellation has been confirmed;

3.51    Cancellations within 24–4 hours of the session will incur a £20 late cancellation fee.

3.52 Cancellations within 4 hours or a no-show will forfeit the session.

3.6 The tutor may cancel a session at any time (the tutor notifies the tutee once cancellation is confirmed) 

3.7 The tutee will not be charged for any cancellations made by the tutor.

3.8 Short notice cancellations due to unforeseen circumstances such as illness, will be reviewed but may still be charged.

3.9 Once a session has been cancelled by a tutee the cancelled session slot may become available to other tutees, after a cancellation, should the tutee want to resume the original session slot, the tutee will have to rebook the session if it is available.

3.10 All cancellations must include a return date (within 1 month). Open-ended cancellations will be treated as a temporary termination and must follow the procedures in Section 7.

4.0 SESSIONS

4.1  Sessions must be confirmed for a weekly basis (Consecutive weeks)

4.2 All sessions and payment of sessions are logged.

4.3 To ensure that there is a safe space for tutees to learn from mistakes, any difficulties in answering questions that tutees may face during sessions remains confidential between the tutor and the tutee (& parent/guardian when necessary).

4.4 The duration of sessions is up to an hour, however the duration of a session is subject to the tutee’s attention span & tutor assessment.

4.5 M4thTeeMatix upholds academic integrity. Tutors are able to offer support with homework & assignments during sessions, but the tutor will not do the homework/assignment on behalf of the tutee. Sessions are intended to support learning, not replace academic responsibilities.

4.6 The tutor has effectively planned topics for each tutee and will adapt sessions to their learning style, year, and current school topics.

4.7 Alongside, teaching current school topics the tutor follows a syllabus, created by M4thTeeMatix, to ensure the tutee is understanding the core knowledge for their current year as well as learning topics ahead of their current year to give the tutee more time to build confidence in answering and understanding different topics.

4.8 Brief feedback is given after every session.

4.9 All online sessions will receive a new Zoom code at least 15 minutes prior to the session start time and will receive the session notes after each Zoom session.

4.10 All consistent tutees have access to all M4thTeeMatix worksheets via the tutee portal (included in the price of their sessions) Worksheets are created and regularly updated by M4thTeeMatix.

4.11 Tutees can request specific topics which they feel they require more help with up to 48 hours prior to a session so that it is incorporated into the next session.

4.12 M4thTeeMatix Personalised Exam Schedule: winter exam, summer exam (those sitting GCSEs & A- levels may receive extra personalised exams the year that they are sitting these exams). Personalised exams are included in the price for weekly tutees.

 

OBLIGATIONS

 

4.13 The tutor is obliged to teach and/or go through mathematical questions and examples with the tutee every session.

4.14 The tutee is obliged to be attentive and to try their best in learning and answering mathematical questions every session.

4.15 Failure of these obligations can result in early completion of session, whilst still being charged.

 

LATENESS

 

4.16 Both Tutee & Tutor have a 15-minute grace period (during the grace period there must be an attempt to update one another on the lateness) sessions may commence after the 15-minute grace period, if both parties agree however, the session may not be the full session time.

 

NO SHOWS

 

4.17 Failure to attend a session after the grace period (with no communication) will be noted as a no show and result in the session being forfeited.

4.18 Failure to attend 2 consecutive sessions, without communications will result in termination of block sessions and sessions will have to be rebooked and paid for.

5.0    ADDITIONAL RESOURCES

5.1   Any excess personalised past papers and worksheets requested outside M4thTeeMatix exam schedule and sessions will incur additional charges.

5.2  Any additional resources (e.g. workbooks, online course) will incur additional charges.

5.3  Any requested formal or progress reports will incur an additional fees.

5.4  All requests must have at least one week's notice.

5.5  All fees for additional resources will be communicated clearly before any work is undertaken.

6.0    PAYMENTS

6.1  All session prices advertised are per tutee. Session blocks cannot be shared between more than one tutee. This includes payments for sessions, which are non-transferable between siblings. Each tutee must have their own separate booking and payment schedule.

6.2  Sessions must be paid for at least 48 hours before the first unpaid session in the session block.

6.3  All PAYG payments must be paid at the time of booking to secure the session slot.

6.4  Invoices will be sent on the last session in the block or by the following day.

6.5  All payments are non-refundable.

6.6  All sessions must be paid via bank transfer or payment link.

6.7  M4thTeeMatix currently does not accept payment plans but is willing to make adjustments for consistent tutees should an unforeseen circumstance arise, or if payments can only be made on a specific date. Any adjustments must be confirmed by M4thTeeMatix following a discussion before they go ahead.

 

DISCOUNTS & PROMOTIONS

 

6.8  Siblings - Sibling discount may only be applied when 2 or more Siblings are being tutored by M4thTeeMatix during the same term. The discount will automatically be applied to the invoice.

6.9  Sibling discount is not available for PAYG tutees.

6.10  Group sessions will only be available during promotional periods (e.g. half terms).

6.11 Referral Scheme - if a tutee refers a new tutee that purchases a block of sessions, the referee tutee will receive a free session.


PROMO CODE APPLICATION FOR PAYMENT LINKS


6.12 When payment is made via the provided payment link, any applicable promotional code must be manually entered at the time of checkout. Although promotional discounts are reflected in the issued invoice, the discount will only be applied through the payment link if the code is correctly entered before submitting payment.

If a promotional code is not applied prior to completing payment, there is no eligibility for partial refunds or retrospective adjustments. Failure to apply a discount code is not the responsibility of M4thTeeMatix.

Alternatively, payments made by bank transfer do not require any adjustments, as all applicable discounts are already reflected in the invoice total.


7.0    Termination

7.1   Tutee must give 2 weeks’ notice for termination of sessions.

7.2  Termination requests made less than the 2 weeks’ notice will incur a £50 fee.

7.3  Upon termination, if there’s any prepaid sessions, the tutee will be notified. These sessions will not be refunded upon early termination, but may be used before the termination date.

7.4  In the event of the termination of sessions, if the tutee decides to recontinue sessions with M4thTeeMatix, their previous session slot may not be guaranteed to be offered.

7.5  Once terminated, any unused prepaid sessions will be cancelled. To return, the tutee must sign new terms, book and pay for a new block before resuming sessions.

7.6  Tutees will lose access to exclusive features, including the Tutee portal, upon termination

 

TEMPORARY TERMINATION

 

7.7  Temporary terminations apply when the tutee takes a ‘break’ from sessions (outside of confirmed holiday periods), for up to 4 months. During this break, the tutee retains access to their portal and remains on the system. If sessions do not resume or no communication is made within 4 months, the sessions will be considered terminated as outlined in sections 7.5 and 7.6.


TERMINATION DUE TO INACTIVITY


7.8 Terminations due to inactivity apply when there is no communication from the tutee/parent/guardian regarding session continuation for a period of 14 calendar days. M4thTeeMatix will make reasonable efforts to confirm continuation however if communications are unsuccessful, sessions will be considered as terminated (as outlined in sections 7.5 and 7.6) and a £50 fee will be incurred.

8.0   Intellectual Property

All content provided by M4thTeeMatix, including worksheets, syllabi, portal materials, personalised exams, and session notes, remain the intellectual property of M4thTeeMatix. These resources are for the exclusive use of the tutee and may not be copied, sold, or distributed without written permission. Breach of this clause may result in legal action.
